The Challenge

The Magazine Photobooth was handling all event inquiries manually. Someone would fill out the inquiry form, and the team would see it when they had time — which could be hours later. Follow-up depended on who remembered. When a lead didn't respond, nothing happened. By the time the team got back to someone, they had often already booked another company. There was no pipeline, no follow-up system, no structure — just people trying to keep up with inquiries while running events.

What We Built

We built a 4-workflow inquiry-to-booking system that runs without anyone managing it.

Workflow 1 — Instant Response: Every new inquiry triggers an immediate personalised response within 60 seconds. The message references their specific event type and package interest based on their form submission.

Workflow 2 — 5-Day Follow-Up: If the lead doesn't respond, a 5-touch sequence runs over five days across email and SMS. The moment they reply, the entire sequence stops and the contact is tagged for manual follow-up.

Workflow 3 — 14-Day Revival: Leads that go completely cold are automatically re-engaged two weeks later with a different angle — a limited availability message and a direct booking link.

Workflow 4 — Booking Confirmation: The moment someone books, all active sequences stop immediately. A confirmation sequence fires, the lead is moved to the booked pipeline stage, and the team is notified.

Alongside the workflows, we rebuilt the inquiry form inside GHL to match their existing website form exactly — capturing event type, date, venue, packages, add-ons, guest count, and SMS consent. We handled the full A2P registration end-to-end so SMS sequences could actually send.
